Who we are

What we collect
Contact and scope-call form. Name, email, business name, phone number, and your message. We store it so we can reply and scope your project.
Client billing records. If you become a client: your name, a contact name, email, address, phone number, and the plan or services you buy.
Client portal sign-in. The portal uses an emailed sign-in link. We collect your email address and keep sign-in records.
Payments. Payments run through Stripe. You enter card or US bank account details on Stripe's hosted pages. Our site never sees or stores those details. Stripe's handling of your data is covered by Stripe's own privacy policy.
For invoices paid by check, Zelle, or wire, we keep a record of the payment, but not your bank login or full account details.
Public business contact details. If we reach out to your business about our services, we may have found your business name, email, or phone number on your website or in public business listings.
Analytics, cookies, and fonts
Analytics. Our hosting provider runs basic, aggregated page-view analytics on this site. It counts visits to pages. We do not use Google Analytics, advertising pixels, or session-recording tools.
Cookies. We set only cookies needed to run and secure the site. They handle your session, which version of the site you are served, and bot protection (through Cloudflare). We do not use advertising or tracking cookies.
Google Fonts. The site loads fonts from Google Fonts. When it does, Google receives your IP address and browser details, as it would for any request.
Do Not Track. We do not track you across other websites, and we do not let advertisers do so on ours. Because of that, the site does not respond differently to a browser's Do Not Track signal.
How we use it
- To answer your message and scope your project.
- To bill you, send estimates and invoices, and run your account.
- To let you sign in to the client portal.
- To send service and billing email about your account.
- To keep the site secure and see which pages are used.
- To meet legal, tax, and accounting duties.
We do not sell personal information.
Billing and account email is sent from notify.builtbynexx.com through our hosting platform's email service. It covers estimates, invoices, receipts, payment problems, and changes to your account. It is not marketing. While you are a client, you will keep getting the bills and account notices you need.
Personal replies come from hello@builtbynexx.com through Zoho Mail. We do not run a marketing mailing list. If we email you about our services and you ask us to stop, we will.
Who else handles your data
We use service providers to run the site and the business:
- Payment processing: Stripe.
- Hosting, database, and page-view analytics: our hosting and database providers, based in the United States.
- Bot protection: Cloudflare.
- Fonts: Google Fonts.
- Email delivery: our hosting platform's email service, and Zoho Mail.
They process data only to provide those services to us. We may also disclose information when the law requires it.
How long we keep it
Contact form messages: 24 months, then we delete them.
Billing and tax records: 7 years.
Portal sign-in records: 12 months.
When we no longer need a record, we delete it or make it unreadable.
Security and breach notification
We take reasonable steps to protect the information we hold. Access to our database is restricted by account and role. Card and bank details stay with Stripe. No system is perfectly secure, and we cannot promise it is.
If a breach affects your personal information, we will notify you as Florida law requires. That means without unreasonable delay, and no later than 30 days after we find it, unless law enforcement asks us to wait.
Your choices
Email hello@builtbynexx.com to ask what we hold about you, to correct it, or to ask us to delete it. We will delete what we are not required to keep for legal or tax reasons. We will answer within 30 days.
Children
This site is for businesses. It is not directed to children, and we do not knowingly collect information from anyone under 13. If we learn we have, we will delete it.
Changes
If we change this policy, we will update the date above. Material changes will be sent to active clients by email.
